StreamsApp compared with Airtable

Airtable lets you build it. StreamsApp is already built

Airtable's flexibility is the trade. In Airtable you design the base, the interfaces and the automations yourself. StreamsApp is narrower and comes with its shape already decided: a process as steps, fields that can be required before a record moves on, and quotes, invoices, messages and a customer portal on the record.

Side by side

Product features change. Check anything here against Airtable before you decide. Airtable prices and limits checked on 20 October 2026.

Can a record be stopped until a field is filled?

Airtable
A status is a field anyone with edit access can change. We could not confirm from Airtable's own pages a built-in rule that blocks it until another field is filled, so ask them or plan to build it.
StreamsApp
Yes, where you switch it on. Mark a field required at a step and the record stays put until it has a value. A step can also insist the quote was accepted or the invoice was paid.

How much do I have to build?

Airtable
The base, its fields and links, the interfaces and the automations. Templates help you start.
StreamsApp
Describe the process or upload the spreadsheet or procedure you use now, and the steps and fields are proposed for you. Or start from a template.

Quotes, invoices and GST?

Airtable
Not among the built-in features we found. You would model them in a base or connect another tool.
StreamsApp
Built in on every plan, including Free, with Australian GST per line, online quote acceptance and sync to Xero or QuickBooks.

SMS, WhatsApp and email from the record?

Airtable
Not among the built-in features we found. You would connect another tool.
StreamsApp
Built in. Send from the record, and the customer's reply comes back onto the same record.

Can my customers log in?

Airtable
Yes. Portals let guest users outside your organisation work with your data.
StreamsApp
Yes, without a password. A private link in your emails shows each customer their own jobs step by step and only the fields you choose, and they can reply from the page.

Free plan?

Airtable
Yes. Up to 5 editors, 1,000 records per base and 100 automation runs a month.
StreamsApp
Yes. 2 users, 500 records and 300 tokens a month, every plugin switched on.

How is it priced?

Airtable
Per editor, in US dollars. Team $20 a seat a month billed annually ($24 monthly), Business $45 billed annually. Enterprise Scale on quote.
StreamsApp
Per organisation, in AUD a month: Basic $29 for 5 users, Standard $79 for 20, Pro $199 for 50.

A database, or a process

In Airtable a status is a field like any other. Anyone who can edit the record can change it, unless you build something to stop them. That is the price of a tool that can be anything.

StreamsApp starts from the process. Steps are the structure, not a field, and each one can say what it needs before a record leaves. You choose which steps do it. The rest let records straight through.

Priced in Australian dollars

Airtable's prices are per editor and billed in US dollars, so five editors on Team is US$100 a month on annual billing and moves with the exchange rate. StreamsApp Basic covers five users for $29 AUD.

Everything StreamsApp stores is held in Sydney: records, files, the audit log and backups. Airtable's numbers are from its own pricing and plan pages on the date shown above.

How much of this you switch on is up to you

Nothing here is required until you say so. A new stream starts with no requirements at all, and a stage that asks for nothing lets a job straight through.

Most businesses end up running both kinds side by side. A compliance job can insist on the slab certificate, so it cannot reach the frame stage without one. A sales enquiry in the same account can have nothing required at all, because chasing a lead is not a process and a rule there is only friction.

That is the real difference. Not that the software is strict, but that you get to decide where it is, one stage at a time, and change your mind later without starting again.

See the difference

Tick one box and a record cannot leave a step until the work behind it is actually done: the quote sent, the invoice raised, the customer told. Excel lets you type Done. Trello lets you drag the card. Neither of them knows nobody was ever billed.

The job can't close until it's billed

Questions

Can StreamsApp replace Airtable?
StreamsApp is built for business processes with stages, a customer and an invoice at the end. It is not a general-purpose database or app builder: there are no formulas, scripts or custom interfaces.
Can I bring my Airtable base across?
Export each table to CSV and import it into a stream, mapping the columns to fields. You can also save the table as an Excel file and upload it to the AI builder first, to have the steps and fields proposed from your columns and status values.
Do I need to know how to build anything?
No. A stream is steps and fields, set up from a template, a description or a spreadsheet. There are no formulas, scripts or interfaces to design.
