Email replies land on the record
A customer's reply to an email you sent from a record now comes back to that record instead of sitting in one person's inbox. They just hit reply. There is nothing for them to do differently and nothing for you to set up: Streams puts a reply address on the email that names the job, so the answer files itself where the work is. Anything they attached is saved onto the record, and the quoted history underneath their reply is tucked out of the way so you read what they actually wrote. Text and WhatsApp replies already worked this way, so all three now come back to the job.

Choose who hears about a reply
A reply on a record that is assigned to somebody goes to that person, as it always has. What happens when a record belongs to nobody yet is now yours to decide, under Reply notifications on the Settings page: owners, owners and admins, admins only, everyone in the organisation, one named person, or a typed address that does not have to belong to a Streams user, such as a shared enquiries inbox. A small team can tell everybody. A business with someone who watches the inbox can tell just them, instead of filling four inboxes with the same message.

Contacts: one place for the people you deal with
The same customer used to be typed onto every job, every quote and every ticket, spelled three different ways, and correcting a phone number meant finding all of them. One stream is now your Contacts, and other streams point at it with a contact field: you pick the customer instead of retyping them, and fixing an email address once fixes every record that names them from then on. Each contact gets their own page listing every job, quote and ticket across the business that names them, which is how you answer "what have we done for this customer" without searching. If somebody is not in the book yet, you add them from the job you are filling in without losing your place, whether the search found nobody or found the wrong people, and whatever you had already typed comes across with them. Every organisation has Contacts, and adding a contact field to any stream creates it if it is somehow missing. It reads like a contact book rather than a job list: name, company, email and phone in the table, and counts of who you cannot reach rather than who is at which step. Contacts carry a structured address and a preferred contact method, so you know whether somebody wants a call, an email, a text or a WhatsApp message before you pick the wrong one. Group them however you like on the Contacts tab, whether that is past customers, trade accounts or the people you met at a show. Build a group by searching your contacts, or import a spreadsheet straight into one, where people you already have are matched rather than duplicated and people you do not have are created. Each group tells you how many of its contacts have no email address, which is the number worth knowing before you plan to email them.

Always know which stream you are looking at
The sidebar now makes your place obvious. The stream you are in is marked with a coloured bar and a stronger highlight rather than a faint tint, and opening a record keeps that stream lit instead of clearing the nav, so a job no longer feels like it belongs nowhere.

Notes fields, with an AI proofreader
Some things do not fit on one line. A stream can now have a notes field: a proper box that keeps your line breaks and takes light formatting, for what happened on site, what the customer said, or why an exception was made. Beside it is an Improve with AI button. It reads what you wrote and offers two versions back, one with just the spelling and grammar fixed and your wording left alone, and one reworded to read more clearly. Neither replaces your text until you pick one, so it can never quietly rewrite what you typed.

Sub-streams: records raised against another record
Some work does not fit a fixed row of steps. One record needs three of something, the next needs seven, and they turn up whenever they turn up. A stream can now be marked as a sub-stream of another, so its records are raised against a parent record instead of standing on their own. Progress claims against a build, variations against a contract, callbacks against an install, returns against an order. Each one is a full record with its own steps and approvals, the parent stays open and editable however many are raised, and the parent's page keeps a running total of what has been raised against it.

Text and WhatsApp replies are live
Replying to a message from Streams now works both ways in practice, not just in principle. A customer's text or WhatsApp reply lands on the record it belongs to, marked as received, and whoever is looking after that record gets an email about it straight away. Email replies still go to your own inbox for now.

Terms of service and privacy policy published
Both are now on the site in plain English, along with a page setting out where your data is stored. The terms spell out how price changes work: at least 30 days notice by email, never for a month you have already paid for, and you can cancel before an increase starts with no exit fee and a refund of anything unused.

Document scanning now runs in Australia
Scan a document on a record and the text is now read by our own service in Sydney, rather than an overseas AI provider. Your scanned documents stay in Australia, alongside your records and files, which were already stored here. Nothing changes in how you use it, and accuracy went up rather than down.

The person who can act gets told a job is late
Set a target number of days on a step and Streams now emails whoever the record is assigned to the morning after it runs late, naming the record with a link straight to it. Nothing assigned? It goes to your admins instead, so a late job is never quietly unwatched. It is one reminder per record per step, not one a day, so it stays a nudge rather than noise.

The AI stream builder now spots who does the work
When you build a stream from a document or a few questions, columns naming a member of your team, things like Checked by, Technician or Signed off by, come back as a person picker rather than an empty text box. Columns naming a customer stay as plain text, because your customers are not in your staff list.

Pick a person, instead of typing their name
Fields can now be set to User, which puts a list of your own team on the record instead of an empty text box. Use it for who reviewed a job, who is on site, or who signed something off. Nobody spells a name three different ways any more, the list keeps itself up to date as people join or leave, and an automation can email whoever is named on the record without you retyping their address.

Stop a record moving on before the work is really done
A step can now insist that a plugin has actually been used before a record leaves it. Require the email to have gone out, the quote to have been accepted, or the invoice to have been paid in full, and the record simply will not advance until it has happened. Anyone who tries early is told exactly what is outstanding, so nothing gets marked finished while the customer is still waiting to hear from you.

Fix your own earlier steps, any time
Spotted a wrong entry after the record moved on? Click that step in the tracker, correct it, and save. It works even when the record is sitting with head office, so a typo noticed late no longer needs an administrator to unpick it. The record stays exactly where it is. Steps your administrators own stay read-only, and steps the record hasn't reached yet still open only when it gets there.

You'll know the moment a customer replies
Replies no longer sit on a record waiting to be noticed. Whoever the record is assigned to gets an email the moment one arrives, with the message in it and a button straight to the record. Nobody assigned? Your owners and admins are told instead, so a customer waiting on an answer is never quietly missed.

Replies now land back on the record
Messaging works in both directions. When a customer replies to an SMS or WhatsApp you sent from a record, their reply appears in that record's history marked as received, so the whole conversation sits with the job instead of scattered across phones. WhatsApp gets a bonus: a reply opens the 24 hour window for free text, and the composer now tells you exactly when it closes.

Saving a step moves the record on
Working through a record is one action now instead of two. Fill in a step and press Save and continue: the fields save and the record moves to the next step, so there is no separate Advance button to remember. Clicking a step in the tracker opens it properly, with its fields editable and its plugins ready to use, which means you can email or message from an earlier step while the record sits further along. Steps the record has not reached yet stay locked until the work before them is done.

Message people on WhatsApp from a record
WhatsApp joins Email and SMS as a way to reach the people on your records, at 5 tokens a message instead of 30 for an SMS. Assign it to a step, and records sitting there get a WhatsApp composer and a full history showing what was delivered. WhatsApp's own rules mean free text only works within 24 hours of that person messaging you, and Streams tells you plainly when a message falls outside that window rather than leaving you guessing. Turn it on from the Plugins page.

Sign up and start using Streams straight away
Streams is open to everyone. Create your account at streamsapp.app, confirm your email, and your organisation is ready to use on the Free plan: 2 people, 500 records, and 300 tokens a month, with no credit card and no waiting for an invitation.

Type phone numbers the way you actually write them
Enter a mobile as 0491 570 006 and Streams now works out the rest, using your organisation's country from Settings. The country flag picker is gone: numbers on records, in the SMS box, on My Account and on your organisation profile are all read the same way and stored in the international form carriers need. Overseas numbers still work, just start with + and the country code. If a number is not valid, or is a landline you are about to text, you are told before the message is sent rather than after the tokens are spent.

Automations now flag a link before you send it to customers
Paste a link into an automation email and the form now asks you to check it is a valid URL, and points you at the record_link placeholder instead. Streams cannot verify an address you typed, and a wrong one quietly sends every recipient nowhere. The warning appears as you type and again when you save, alongside the existing checks for placeholders that would come out blank.

Looking at a step no longer moves the record
Clicking a step in the progress tracker now just shows you that step's fields. Your record stays exactly where it is, with the step you are viewing ringed in amber and the real current step still marked in blue. Previously a click on an earlier step moved the record back to it, so checking what an earlier stage asked for could quietly undo progress. Records now only change step when you press Advance or Back, and only once the required fields are filled in.

Members no longer see admin-only record controls
The Details panel on a record, which holds re-assign, Archive and Move to stream, is now owner and admin only. Member logins such as a shared per-store account see the step tracker and their own fields, and nothing they are not allowed to touch. Previously the panel appeared on any step a member could work on, which meant a submitter could archive their own request or move it into another stream.

Failures now show up in your audit log
Filter the audit log by "error" to see anything that went wrong for your organisation: an AI request that was refused, an automation email that could not be sent, a message a provider rejected. Each one states the reason in plain language, and links to the record it relates to. Previously these were only visible in our own server logs, so you had to ask us.

Put a link to the record in your automation emails
Automation subjects and bodies now understand five new placeholders on top of your own field names: record_link opens the record straight from the email, plus reference, record_id, step and stream. Every placeholder available on the stream is listed under the form, so you can click to insert one instead of guessing the name.

Automations can be edited, and they warn you before they misfire
Fixing a typo in an automation used to mean deleting it and building it again from scratch. There is now an edit button for the trigger step, the action, the recipient and the wording. The form also flags the two mistakes that quietly produce useless alerts: a placeholder that isn't a real field, and an automation that reads a field filled in on its own trigger step, which is always empty at that moment.

An automation that cannot send now tells you why
If an alert email had no address to go to, or the organisation had run out of tokens, nothing was sent and nothing was recorded. The record's Email tab now shows a failed message explaining exactly what stopped it, so a missing notification is something you can see rather than something you find out about later.

Clearer messages when an AI feature is unavailable
Every AI failure used to be reported as the AI being busy, and suggested trying again shortly, even when that could not help. The app now tells the difference between a short-lived blip, which it retries for you, and a daily limit being reached, which it says plainly. Your tokens are refunded either way.

Monthly tokens now top up automatically on the Free plan
Free organisations were only ever granted tokens once, when they signed up, so a busy month could leave email alerts and AI features silently switched off. A scheduled job now refills the monthly allowance for every free organisation as its billing period rolls over. Paid plans were already refilled on renewal.

Fields that fill themselves in
A text field can now be marked as auto-fill, so it is populated with the name of whoever creates the record instead of them typing it. Ideal for a "Reported by" or "Requested by" field. The name is in place before any alert email goes out, so notifications can include it, and it stays editable for shared logins where the login's name isn't the person's.

The Lake and Timeline are now owner and admin only
Both are whole-organisation management views, and each spends tokens when used: a Lake question costs 3 and a Timeline refresh costs 1. They are now limited to owners and admins, so a member login cannot run up your token usage. Members keep everything they need on their own streams and records.

Creating a record stops asking questions it already knows
The New record dialog no longer asks which stream to use when there is only one it could be. For anyone whose role means they don't pick a starting step, there is nothing left to answer, so clicking New record just creates it and opens it. Fewer clicks to log a request.

Tasks and Audit are now admin-only on a record
The Tasks and Audit tabs on a record are internal views: your team's to-do list and the full change history. They are now owner and admin only, matching the Audit Log page members have never been able to open. Notes are unchanged and still available to everyone, so members can still leave a comment on a record.

Send notifications to a second inbox, and tidy up people's names
Every login can now have a second address that notifications are copied to, so alerts reach a shared inbox or a personal one as well as the sign-in email. Security email such as password resets and invitations still only ever goes to the sign-in address. Owners and admins can also finally edit a team member's display name, so records and digests show the short name people actually use.

Let people submit without letting them run the whole process
Every step now has a Member access setting with three choices: members can work on it, can view it without changing it, or cannot see it at all. Make the first step editable so your team can log requests, leave the middle steps view-only so they can follow progress without triaging or closing their own work, and hide any step holding figures they shouldn't see. Ideal when one group logs the request and another handles it from there.

Turn your spreadsheet into a stream with AI
The AI Stream Builder now accepts Excel files (.xlsx). Upload the spreadsheet you currently track work in: column headers become fields, a stage or status column becomes the steps, and the AI writes documentation for each one. Moving off the spreadsheet now takes one upload.

Members can now see only their own records
A new per-stream setting restricts member logins to the records they created, while owners and admins still see everything. Members can submit and track their own work without seeing anyone else's, across every list, search, and dashboard. Perfect for maintenance requests, IT tickets, or supply orders across multiple locations. Automations now also fire when a record is first submitted, so an admin can be emailed the moment a new request comes in.

See your AI-built stream as a flow diagram
When the AI Stream Builder proposes a plan, the steps now appear as a colour-coded flow diagram (the same style as the Timeline page), so you can sanity-check the process shape at a glance before creating it.

Step time targets + a Monday briefing when work gets stuck
Give any step a target, like 'quotes should clear in 7 days', and Streams flags every record that's over it: on the record itself, and in Lake Analytics with exact counts of what's past target. Then, every Monday morning, owners and admins get a short email listing the records that need a push (only when there's actually something to flag; quiet weeks send nothing). Set a target in stream settings → edit step.

Build a stream from a PowerPoint
The AI Stream Builder now reads PowerPoint decks (.pptx) as well as PDFs and Word docs, so you can turn a 'systems and processes' slide deck straight into a working stream. It pulls in both the slide content and your speaker notes.

The Lake now has an Analytics tab: a free, instant dashboard (no AI, always exact) showing how your records are spread across each step, how long they've been sitting there, and which ones have been stuck the longest. Spot bottlenecks at a glance: any step where work is averaging over a month gets flagged. Great for your Monday review.

Ask the Lake: plain-English answers about all your records
Every stream now flows into the Lake: a single place to ask questions about all your records at once, in plain English. 'How many jobs are at each step?' 'Which records have been sitting untouched the longest?' 'Who has the most unassigned work?' You get an answer straight away, drawn only from your own data, with no filters or spreadsheets to build. Find it under Lake in the sidebar.

See a record's whole story across every stream
When a record has moved through more than one process, say a store that was opened, then later decommissioned, you can now open its full record and see the whole journey in one place: every stream it passed through, all its details merged together (each showing which stream it came from), and a single combined activity history. Look for 'View full record across all streams' on any linked record.

Don't start from a blank page. Describe your process in a few words, or upload a procedure document (PDF or Word), and the AI Stream Builder drafts a complete workflow for you: the steps, the fields (including dropdowns), and the documentation for each stage. Review it, tweak it by chat, and create it in one click.

Label your uploaded files
Every file and photo on a record can now have a short label ('Front of store', 'Signed lease', 'Damage, rear panel') so a page of similar attachments is easy to tell apart at a glance. Labels are optional, editable anytime, and included in CSV exports.

Copy & link records between streams
When a record finishes one process and starts another, like a store moving from opening to decommissioning, you can now copy it into the new stream instead of moving it. The original stays put with its full history and becomes read-only (a banner links to where it continued), the copy starts the new process with the same details, and both records link back to each other.

New arrows on the Fields card let you flick back through what was captured at each step (quotes, dates, documents) without changing where the record actually is in the process.
