Step by step

The documentation below ships with the template. It is what your team reads on the step itself while they are doing the work, not a manual filed somewhere else.

  1. 01

    Ordered

Order confirmed with the drawing and quantity.

Required before the job can move on

    • Customer
    • Part or product
    • Quantity
    • Due date
    • Drawing
    • Drawing revision

Also on this step, but optional: Customer PO number.

    Purpose

Make sure the workshop builds the right thing, to the right revision, by the right date.

    Tasks

    1. Pick the Customer and enter their Customer PO number.

    2. Enter the Part or product, Quantity and Due date.

    3. Attach the Drawing and record its Drawing revision.

    4. Check the revision against the customer's PO before releasing the order.

    Gate to advance

Customer, Part or product, Quantity, Due date, Drawing and Drawing revision must be set.

    Notes

If the customer sends a new revision mid-job, replace the drawing, update the revision and tell the floor straight away.

  2. 02

    In production

Material allocated and the job is on the floor.

Required before the job can move on

    • Material
    • Batch number
    • Made by

Also on this step, but optional: Production notes.

    Purpose

Record what the job was made from and who made it, so any problem later can be traced.

    Tasks

    1. Enter the Material (grade and size) and the Batch number or heat number from the supplier's certificate.

    2. Record who the job was Made by.

    3. Note any deviations, setup issues or scrap in Production notes.

    Gate to advance

Material, Batch number and Made by must be filled in.

    Notes

If your process has several stages (cutting, welding, finishing), add a step for each. Each one can carry its own required fields.

  3. 03

    QA check

Inspected against the drawing, results recorded.

Required before the job can move on

    • QA inspector
    • QA result
    • Measurements recorded

Also on this step, but optional: QA report.

    Purpose

Nothing ships until somebody has checked it against the drawing and written the results down.

    Tasks

    1. Inspect the parts against the Drawing at the recorded Drawing revision.

    2. Write the key dimensions and results in Measurements recorded.

    3. Set the QA result and enter your name as QA inspector.

    4. Attach a QA report or photos if the customer needs them.

    Gate to advance

QA inspector, QA result and Measurements recorded must be filled in.

    Notes

On "Fail, rework", move the order back to In production and note what needs fixing. Only a Pass, or a Pass with concession the customer has agreed to in writing, goes to dispatch.

  4. 04

    Dispatched

On the truck with a consignment note.

Required before the job can move on

    • Quantity dispatched
    • Consignment note
    • Dispatch date

    Purpose

Record what left, when, and how to trace it.

    Tasks

    1. Enter the Quantity dispatched. If it is less than ordered, note the balance on the record's Notes tab.

    2. Enter the carrier's Consignment note number and the Dispatch date.

    3. Send the customer the consignment details and raise the invoice.

    Gate to advance

Quantity dispatched, Consignment note and Dispatch date must be set. Archive the order once it is invoiced and paid.
