Step by step

The documentation below ships with the template. It is what your team reads on the step itself while they are doing the work, not a manual filed somewhere else.

  1. 01

    Scheduled

Inspection booked with a site, a date and an inspector.

Required before the job can move on

    • Site
    • Inspection type
    • Inspector
    • Inspection date

    Purpose

Put the inspection in the diary with a named inspector, so it actually happens.

    Tasks

    1. Enter the Site and the Inspection type.

    2. Name the Inspector and set the Inspection date.

    3. Let the site supervisor know when the inspector is coming.

    Gate to advance

Site, Inspection type, Inspector and Inspection date must be set.

    Notes

For recurring inspections, create a new record each time. Past inspections stay searchable.

  2. 02

    Inspected

Site walked, hazards recorded and rated.

Required before the job can move on

    • Areas inspected
    • Hazards found
    • Risk rating

Also on this step, but optional: Inspection photos.

    Purpose

Record what was looked at and what was found, while the inspector is still on site.

    Tasks

    1. List the Areas inspected (e.g. "scaffold levels 2 to 4, site amenities, plant yard").

    2. Write each hazard in Hazards found, one per line, with its exact location. Write "None found" if there were none.

    3. Set the Risk rating for the worst hazard found.

    4. Attach Inspection photos of each hazard.

    Gate to advance

Areas inspected, Hazards found and Risk rating must be filled in.

    Notes

A high risk hazard needs action now, not after the paperwork. Stop the work, make it safe, then record it.

  3. 03

    Hazards actioned

Every hazard has a corrective action and an owner.

Required before the job can move on

    • Corrective action
    • Actioned by
    • Action due date

Also on this step, but optional: Evidence of fix.

    Purpose

Make sure every hazard found has a fix, a person and a date. An inspection that finds hazards and stops there has not done its job.

    Tasks

    1. For each hazard, write the Corrective action (e.g. "Edge protection installed, level 4 east").

    2. Name who is responsible in Actioned by.

    3. Set the Action due date.

    4. Attach a photo of the fix in Evidence of fix once it is done.

    Gate to advance

Corrective action, Actioned by and Action due date must be filled in. If no hazards were found, write "No action needed" and your name.

    Notes

Set a target number of days on this step so overdue actions show up in the weekly digest.

  4. 04

    Signed off

Site supervisor has checked the actions and signed off.

Required before the job can move on

    • Signed off by
    • Sign-off date

    Purpose

A supervisor confirms the corrective actions are in place. This closes the inspection.

    Tasks

    1. Check each corrective action on site or against the evidence photos.

    2. Enter your name in Signed off by and set the Sign-off date.

    Gate to advance

Signed off by and Sign-off date must be set. Archive the inspection after sign-off; it stays searchable.
