For property management
No tradie booked until the owner has said yes
Tenant requests arrive at all hours. The urgent ones get a tradie straight away, and every now and then the owner never actually approved the work. That is how property managers end up paying for it themselves.
Approval before booking
Who approved it and the approved limit are required before a tradie can be booked.
Owner replies on the request
Email the owner from the request and their answer lands back on it.
Tenants told
Email, SMS or WhatsApp from the request, or let them follow it in the customer portal.
Late requests surface
Target days per stage, flagged on the record and emailed to whoever manages it.
Owner approval as a stage, not a habit
Write the process down once: lodged, owner approval, tradie booked, done. Every request moves through those stages in order, and owner approval is a stage of its own rather than something somebody is supposed to remember.
Make who approved it and the approved limit required on the approval stage. A request cannot reach 'tradie booked' until both have values. Try, and it stays where it is, with the missing field named.
So the approval is always written down, on the request, with the amount the owner agreed to. Six months later, when somebody asks who signed off on the hot water system, it is there.
Ask the owner from the request
Email the owner from the request itself. Every email sent from a request carries a reply address naming it, so when the owner replies with their approval it lands back on that request rather than in one person's inbox, with anything they attached saved onto it.
Pick the owner from your contacts when the request is lodged. Put an email on the approval stage and it sends itself when the request arrives there, with the property and the problem filled in and the address read off the owner's contact record.
Tenants kept in the loop
Email, text or WhatsApp the tenant from the request when the tradie is booked, and their reply comes back onto it. You can make telling the tenant a gate, so a request cannot leave 'tradie booked' until they have actually been messaged.
Turn on the customer portal and a tenant can follow their own request step by step through a private link, with no password, and see only the details you choose to share.
Nothing left sitting
Give each stage a target number of days. A request waiting on an owner or a tradie too long is flagged, listed in the weekly summary, and emailed to whoever manages it the morning after it goes over.
Each owner's contact record lists every request that names them, so the history of what they have approved is one click away.
See it happen
Has the owner approved it? Tenant requests come in at all hours, and booking a tradie before the owner signs off is how property managers end up paying for it themselves. Here is how Saltglass Property Management runs tenant requests as a stream: Lodged → Owner approval → Tradie booked → Done, and nothing moves on until each step is done.

Handle tenant maintenance requests with the owner's approval on record before any tradie is booked. 4 stages and 15 fields, with written instructions on every stage. Change any of it, because it is your process.
Questions
- Can I stop a tradie being booked before the owner approves?
- Yes. Make the owner approval and the approved limit required fields on the approval stage. The request will not reach the booking stage until both have values, and the person moving it is told which are missing.
- Can the owner's approval come back by email?
- Yes. Email the owner from the request and their reply lands back on that request, with any attachments saved onto it. Whoever the request is assigned to is told that a reply arrived.
- Can tenants see where their request is up to?
- Yes, with the customer portal switched on for the stream and for that tenant. They follow the request step by step through a private link and see only the fields you tick. It costs 30 tokens per person per month while their access is on.
- Does it replace my property management software?
- No. There is no trust accounting, rent ledger or lease management here. It runs the maintenance request process alongside the software you already use for those.
