Creating a stream
Streams are the workflows your records move through. Each stream is made up of sequential steps with documentation and validation rules. This page lets owners and admins create and configure streams.
Creating a new stream
- 1
Click "New Stream" in the top-right corner.
- 2
Choose a template (Sales, New Hire Onboarding, Repair Jobs, Support Tickets, Project Schedule, or Contacts) to start with steps, fields, and documentation pre-filled. Or click "Or start blank" to create an empty stream. The Project Schedule template is built around milestone dates; enable the Timeline plugin at /plugins to see those dates plotted as a Gantt chart.
- 3
The name auto-fills from the template; edit it if you want, and optionally add a description.
- 4
Click Create. Templates land you on the stream view (it's ready to use); blank streams land in Settings so you can add steps.
- 5
You can rename, add, or remove fields and steps at any time after creation; templates are a starting point, not a lock-in.
- 6
Prefer to describe your process in plain language, or have a written procedure to hand? Click Build with AI instead; see "Build a stream with AI".
- 7
Arriving from a template page on the public website (streamsapp.app/templates) opens this dialog with that template already selected, so you don't have to find it again in the picker.
Setting up your Contacts
- 1
The short version: add a Contact field to any stream and, if you have no Contacts stream yet, Streams creates one for you when you save the field and tells you it has. The rest of this is the longer route, and how to use a stream you already have.
- 2
Click "New stream" and choose the Contacts template. It creates a stream with Name, Company, Email, Phone, a structured address (Address line 1 and 2, suburb or city, state or region, postcode, country), Preferred contact method (Phone, Email, SMS or WhatsApp), "How they found us" and Notes, and two steps (Active and Archived).
- 3
Creating it also marks that stream as your organisation's Contacts stream - the one other streams pick from. You only ever have one, so choosing this template again later moves Contacts to the new stream.
- 4
Already have a stream of customers? Open its Configuration page instead and switch on "Use this stream for Contacts". Nothing about the stream changes except that other streams can now point at its records.
- 5
Add your people as ordinary records: open the stream, click New record, fill in the name.
- 6
Now add a Contact field to a job or quote stream (its Configuration page → Fields). On a record it becomes a search box over Contacts, so you pick the customer instead of retyping them.
- 7
Open any contact and its page lists every record across the organisation that names them.
Managing member access
- 1
Each stream has an access panel showing which members can see it.
- 2
Owners and admins always have access to all streams.
- 3
To grant a member access, click the stream row to expand its access section.
- 4
Toggle a member on or off using the checkboxes.
Renaming or deleting a stream
- 1
Click the three-dot menu (⋮) next to the stream name.
- 2
Choose Rename to update the stream name.
- 3
Choose Delete to remove the stream. You cannot delete a stream that has active (non-archived) records.
- 4
Archive all active records first, then delete the stream.
