Building a stream with AI
The AI Stream Builder turns a few answered questions, or an uploaded process document, into a ready-to-use stream with steps, fields, and documentation that you review and refine before creating.
Building from questions
- 1
On /streams, click Build with AI, then choose Answer a few questions.
- 2
Describe what the workflow tracks (required), and optionally its stages, the information you capture, what must be filled in before advancing, and any extra context.
- 3
Click Generate plan. This costs 10 tokens.
- 4
Review the proposed plan. It opens with a step flow diagram (colour-coded step cards joined by arrows, each showing its required-field count), followed by the fields and per-step documentation.
Building from a document
- 1
Click Build with AI, then Upload a process document.
- 2
Choose a PDF, Word (.docx), PowerPoint (.pptx), or Excel (.xlsx) file describing your process; an SOP, "how to" guide, process deck, or the spreadsheet you track the work in all work well.
- 3
Click Analyse & generate. This costs 25 tokens. The file is sent to Google Gemini to analyse and is not stored by Streams.
- 4
The AI copies real option lists into dropdown fields and, if your document only describes an intake form, infers the full lifecycle the record follows afterwards.
- 5
Where a column or box on your document names a member of your team ("Checked by", "Technician", "Signed off by"), the AI makes it a User field, so on the record it becomes a picker of your own people instead of a text box. Columns naming a customer or other outsider stay as plain text, since nobody outside your organisation can appear in that picker.
Refining and creating
- 1
In the review panel, type a change in the refine box (e.g. "add a Priority dropdown" or "reorder the last two steps") and click Apply. Each refine costs 2 tokens.
- 2
Repeat until the plan looks right.
- 3
Click Create this stream to build it. Creating from an accepted plan is free; you only pay for the AI work.
- 4
You land on the new stream, ready to use. Edit steps, fields, and documentation afterwards like any other stream.
What people ask about this
- How do I build a stream with AI?
- Can the AI read my process document?
- How many tokens does the AI Stream Builder use?
- Can I change the plan before creating the stream?
Inside the app there is an assistant that answers these from your own written process, not just from ours.
