Finding what is stuck

Every stream flows into the Lake. Ask questions in plain English about all your live records at once, or open the Analytics tab to see where records are piling up. Owners and admins only: member-role logins are redirected away, since it spans every stream and asking it questions spends the organisation's tokens. Two tabs: Ask (AI answers from your own data) and Analytics (an instant, free bottleneck dashboard). Use it for quick counts, finding stuck or idle records, checking assignments, and pulling records that match a value, without building a filter or export.

Asking a question

    Open Lake from the sidebar (the Ask tab is shown first).

    Type a question in the box at the bottom (e.g. "How many records are at each step?", "Which jobs have been idle more than 14 days?", "Who has the most unassigned records?") and press Enter (or tap a suggested question to start).

    The answer streams in below, citing record references, counts, and stream/step names.

    Ask follow-up questions in the same conversation; each one builds on the last.

Reading the Analytics tab

    Click the Analytics tab. It's free and instant: no tokens, no AI, always exact.

    Headline stats show total live records, number of streams, how many records have been sitting more than 90 days, how many are past their step's target days, and the longest a single record has been stuck.

    Aging breaks records down by how long they've sat at their current step (0–7 / 8–30 / 31–90 / 90+ days).

    Records by step shows, for each stream, how many records are at each step and the average number of days they've been there. Steps with a target days value show "avg Xd / Yd" and turn red when the average exceeds the target; steps without a target are flagged amber when averaging 30+ days.

    Most stuck records lists the individual records that have been at their current step the longest; records past their step target get a red "Xd over" badge. Click any one to open it.

    For exact counts and finding bottlenecks, prefer Analytics; use Ask for open-ended questions.

Weekly digest email

    Owners and admins receive a weekly summary email (Monday morning) when there's something to flag: records past their step's target days and/or records idle 90+ days. Quiet weeks send nothing.

    The email lists the worst offenders with links to each record, the slowest step right now, and a button to open Lake Analytics.

    Step targets are set per step in stream settings (edit step → "Target days at this step").

    To stop receiving it, turn off email notifications on My Account (/account).

    The digest is the organisation-wide view for administrators. Separately, whoever a late record is assigned to gets their own reminder about it the morning after it passes its target, so the person who can act does not have to wait for Monday. Unassigned late records go to owners and admins instead. See the reminders section in stream settings help.

What the Lake can see

    The Lake answers only from your own organisation's live records; it never invents data, and if the answer isn't in your records it will say so.

    If you're a member, it only considers records in the streams you've been granted access to.

    Archived and deleted records are excluded. Very large orgs are answered from the most recent records.

Cost

    Each question costs 3 tokens from your organisation's monthly bucket (refunded if the AI fails to respond).

    If you're out of tokens, the Lake asks you to top up or upgrade. Check your balance on the billing page.
