Importing contacts into a group

Everybody in this group, with the tools to add more: search your Contacts and tick several at once, or import a spreadsheet straight into the group.

Adding contacts by hand

  1. 1

Type a name, company or email into Add from your Contacts.

  2. 2

Tick everyone you want. The ticks hold while you search again, so you can gather people from several searches.

  3. 3

Click Add to group. It tells you how many were added and how many were already there.

  4. 4

Adding somebody twice does nothing. You cannot end up with the same person in a group twice.

Importing a spreadsheet into the group

  1. 1

Click Choose file under Import a spreadsheet and pick a CSV. Up to 1,000 rows at a time.

  2. 2

Map each column onto one of your Contacts stream's fields. Columns whose names already match are mapped for you; set anything you don't want to Do not import.

  3. 3

Choose Match existing contacts on. Email is the safest choice because names repeat: two different Dave Smiths are two people, but one email address is one person.

  4. 4

Leave "Add people who are not in Contacts yet" ticked to create them as new contacts. Untick it and unknown rows are counted and reported instead, and nothing new is created.

  5. 5

Click Import. You are told how many were added, how many contacts were created, how many were already in the group, how many were skipped, and any rows that failed with the reason.

  6. 6

Importing the same file twice is safe: nobody is added twice and nobody is created twice.

  7. 7

Rows with nothing in the match column are reported rather than imported, because there is no way to tell whether they are somebody you already have.

  8. 8

Imports do not fire step automations, the same as the records importer. A 500-row import should not send 500 emails.

Removing someone

  1. 1

    Click Remove on their row.

  2. 2

That takes them out of this group only. They stay in your Contacts, in any other groups, and on every record that names them.

The "no email" count

  1. 1

The header shows how many people in the group have no email address on their contact record.

  2. 2

That is the number worth knowing before you plan to email a group: those people cannot be reached that way until somebody fills the address in.

  3. 3

Fix it by opening the contact and adding their email, and it corrects itself here.
